Documentation
SimCase AI is an enterprise training platform where your team practices real conversations (sales calls, leadership discussions, customer service situations) with AI characters over live voice, and receives skills-based feedback after every session.
Getting started
SimCase AI is invitation-only. A workspace admin invites you by email; the invitation email contains your sign-up link. You can sign in with email and password or with Google.
The platform is available in English, French, and German. Change your language anytime in Settings → Profile.
- Admins: follow the setup checklist on your Home dashboard: invite your team, build a case, mark it Ready, create a classroom, and assign cases to it.
- Members: open Classrooms, pick an assigned case, and start your first conversation.
Key concepts
- Workspace: your company's private space. Every user, case, and classroom belongs to exactly one workspace.
- Roles: Admins build cases, manage classrooms and members, and see team analytics. Members train on assigned cases and track their own progress.
- Frameworks: every case belongs to one training category: Sales, Leadership, or Customer Service, each with its own set of six evaluated skills (e.g. Objection Handling, Feedback & Coaching, De-escalation).
- Case: a training scenario: an AI character, a situation, a conversation objective, and a skills scorecard. Cases marked Ready can be assigned to classrooms.
- Classroom: a group of members assigned a set of cases from one framework, optionally with due dates, required scores, and a target average.
- Session & evaluation: a live voice conversation with the AI character, followed by an AI-generated, skills-based evaluation scored out of 100.
For admins: set up training
1. Invite your team
From Home, invite users by email (paste one or many addresses) and choose their role: Member or Admin. Invitations stay pending until the person signs in for the first time; you can resend or revoke them at any time.
2. Build a case
In the Builder, pick a framework, then start from one of the built-in templates (cold calls, performance reviews, refund requests…), a blank custom scenario, or Generate with AI: describe the situation in a sentence and the AI drafts the whole case for you to review and edit.
A case has three parts:
- Trainee briefing: title, the trainee's role, the situation, and a conversation objective. Visible to trainees, never fed to the AI.
- AI character & context: name, age, gender, attitude (Warm to Rude, 8 options), background, the AI-facing scenario, and positive/negative outcomes that automatically end the call when reached.
- Skills scorecard: weight the framework's six standard skills (0–5, weight 0 excludes a skill), or define up to six custom skills. Optionally attach a knowledge document (.txt): the evaluation checks whether the trainee applied it.
You can also set a call time limit (1–10 minutes) and the case language (English, French, or German). Once the case looks right, open its details and mark it Ready. Only Ready cases can be assigned to classrooms. The difficulty label (Easy / Moderate / Difficult) is a guide for trainees; it doesn't change the AI's behavior.
3. Create a classroom and assign cases
Create a classroom, choose its framework (fixed after creation), and optionally set a target average score. Then add members and assign Ready cases. Each assignment can carry a due date and a required score. Members are notified and see a training path with their status per case.
4. Track your team
Progress → Team shows team averages, a member table with activity status, a leaderboard, per-classroom and per-case performance (weakest first), and a team skills heatmap, all exportable to CSV. Click a member for their individual timeline, skills, and recent sessions. Session transcripts of your team are available under History → Review sessions.
For trainees: practice sessions
Start a session
Open a case from your Classroom. The details view shows your briefing, the character, the skills that will be evaluated, and a per-session "Record this session" switch (off by default). Click Start Conversation. You'll need a working microphone and browser permission to use it.
During the call
You speak first. Talk naturally. The character listens, responds, and stays in character. A Case Brief panel keeps your objective and the scenario details at hand. The call ends when you click End Call (available after 30 seconds), when the time limit runs out, or when the AI reaches one of the scenario's outcomes, for example when you achieve your objective. Leaving instead of ending discards the session without feedback.
Read your feedback
Every completed session generates an evaluation:
- Overall score out of 100, with your delta vs. the previous session
- Skills breakdown: each skill scored from your transcript, with a one-line summary
- Objective achieved or not, what went well, and what needs improvement
- Evidence timeline: quoted moments from your conversation, tagged by skill
- "How you could have said it better": concrete rephrasing suggestions
You can retry any case as many times as you like. Analytics track your best score. Past sessions, transcripts, and pending feedback live in History; recorded audio is in Recordings. Feedback is generated by AI and may contain inaccuracies.
Follow your progress
Progress → Personal shows your score timeline, training streak, classroom progress, skill radar, and improvement per case. The Leaderboard ranks you against your teammates.
Settings & privacy
- Profile: username, company, interface language (English / Français / Deutsch), and password change.
- Audio recording consent: sessions are never recorded without consent. You are asked once, before your first session, and can change your answer at any time in Settings → Privacy & Data. Without consent, only the transcript is saved.
- Data export: request an export of your profile, roleplays, transcripts and evaluations. You receive an email link to a JSON file, valid for 48 hours. Other data is available on request to [email protected].
- Deletion: delete all your audio recordings, or your entire account, from the Danger Zone. Account deletion is permanent.
Integrations
- Salesforce (CRM): admins can connect their Salesforce org for single sign-on and case assignment from Salesforce.
- LMS (LTI 1.3): launch SimCase AI cases from your learning management system, with grade passback.
- Google Calendar: connect your personal calendar from Settings → Integrations.
FAQ & troubleshooting
How do I get an account?
Sign-up is by invitation only. Ask your workspace admin to invite you; the invitation email contains your sign-up link. Not a customer yet? Contact us.
Which languages are supported?
The interface, the AI characters, and the evaluations all support English, French, and German. Your interface language is set in Settings → Profile; each case has its own conversation language.
Are my conversations recorded?
Audio is only stored if you switch on "Record this session" before a call (off by default). Transcripts are always saved so your evaluation can be generated.
How is my performance scored?
An AI evaluates your transcript against the case's skills scorecard. Each skill gets a score and summary, weighted into an overall score out of 100, plus a verdict on whether you achieved the conversation objective.
Can I redo a case?
Yes, as often as you like. Each attempt generates a new evaluation, and classroom progress counts your best score.
My microphone isn't working
- Allow microphone access in your browser's site settings, then retry
- Check the microphone works in your OS settings
- Refresh the page, or try Chrome or Firefox
I didn't get feedback after a session
If a session was saved without an evaluation, open History: pending sessions show a Generate feedback button. Note that leaving a call without clicking End Call discards the session entirely.
I found a bug. How do I report it?
Contact your workspace admin or reach us via the contact page with what happened and the steps to reproduce it.
